Job Purpose
The PMO Administrator will be responsible for providing administrative and operational support to the Portfolio Manager and Trafigura Project Team. The role includes maintaining project documentation, coordinating meetings, tracking project metrics, budgets, and ensure quality assurance across the portfolio.
Key Responsibilities
Administrative SupportProvide day-to-day administrative assistance to the Trafigura Portfolio Manager and Project team.
Organise and schedule meetings, including preparation of meeting agendas and taking minutes. (ARB, HOTS, Monthly Steering etc)
Project Documentation & ReportingAssist in the creation, maintenance, and management of project documentation, including project initiation, plans, and reports as well as administration within PULSE and Workfront
Track project status, update project logs, and ensure that all documentation is accurate and up-to-date.
Support the creation of presentations and status reports for stakeholders, management, and project teams.
Governance & ComplianceEnsure adherence to PMO governance, policies, and processes across all projects.
Monitor and track project milestones, risks, and issues, escalating where necessary (QA)
Support the management and maintenance of project management tools and systems.
Resource & Budget TrackingTrack project budgets and expenditures, providing regular updates to project managers and stakeholders.
Ensure PM costs are tracked and updated in the portfolio toolset.
Risk & Issue ManagementMonitor project risks and issues, ensuring they are logged and tracked within project documentation.
Coordinate with project managers to ensure timely escalation and resolution of project risks and issues.
Communication & CollaborationAct as the central point of contact between the PMO and other departments for queries related to project management.
Foster clear communication between project teams, stakeholders, and management.
Continuous ImprovementProactively identify areas for process improvement within the PMO and provide recommendations.
Support initiatives aimed at improving PMO practices, tools, and methodologies.
Key Skills & Competencies
Strong Organizational SkillsAbility to manage multiple tasks and priorities simultaneously.
Attention to detail and ability to ensure accurate record-keeping.
Communication SkillsExcellent written and verbal communication skills for preparing reports and interacting with stakeholders at all levels.
Skilled at facilitating meetings and documenting key points.
Technical ProficiencyProficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and project management tools (e.g., MS Project, Workfront, Jira,etc).
Familiarity with project management methodologies (PMP, PRINCE2, etc.) is a plus.
Analytical & Problem-Solving AbilitiesCapable of tracking and analysing data related to project performance, budget, and resource utilisation.
Ability to identify and escalate risks or issues in a timely manner.
Team CollaborationStrong interpersonal skills with the ability to collaborate effectively with cross-functional teams.
Willingness to work flexibly to meet project deadlines.
Qualifications & Experience
Bachelor's degree in business administration, project management, or a related field.
At least 3 years of experience in an administrative, project support, or PMO-related role.
Knowledge of project management frameworks and methodologies (desirable).
Experience with project management tools and software.
Certification in project management (such as PMP or PRINCE2 Foundation) is advantageous but not required.
Key Performance Indicators (KPIs)
Timely and accurate production of project reports and documentation.
Effective tracking and reporting of project milestones, risks, and issues.
Adherence to PMO governance and project standards.
Positive feedback from project managers and stakeholders.
Timeliness and accuracy in budget and resource tracking.
